Please read these terms of use carefully before using the Aesthetidocs website, mobile app, or online appointment booking platform (the site) – your use of the site is subject to these terms.

The site is operated by Aesthetidocs Limited (Aesthetidocs, we, our or us) of Lockview House, 49 Lockview Road, Belfast, Northern Ireland, BT9 5FJ.

By using our site, you confirm that you accept these terms and that you agree to comply with them. If you do not agree to them, you must not use our site.

Our site is a service operated by us to facilitate the arranging and managing of bookings with aesthetic treatment clinics. These terms only apply to the booking management process. You may be subject to additional terms and conditions with your treating clinic or practitioner which govern your relationship with them and any services they provide to you.

Authorization to use the site

Subject to your compliance with these terms, you may access or use the site solely for the purpose of arranging, managing, and paying for bookings with clinics or practitioners offering aesthetic treatment services.

You must not access or use the site except as permitted by these terms. In particular, you must not and must not permit any other person to:

  • Pretend that you are, or that you represent, someone else, or impersonate any other individual or entity when using the site.
  • Resell, assign, transfer, distribute or provide others with access to the site or any of our materials.
  • Copy, modify, frame, repost, publicly perform or display, sell, reproduce, distribute, or create derivative works of the site.
  • Use the site to transmit, publish or communicate material that is defamatory, offensive, abusive, indecent, menacing or unwanted.
  • Use the site in any way that damages, interferes with or interrupts the availability of the site.
  • Introduce malicious programs into our hardware and software or our hardware, software and services which are integrated and operate together, including our networks, including viruses, worms, trojan horses and e-mail bombs.
  • Reveal your account password to others or allow others to use your account.
  • Use the site to carry out security breaches or disruptions of a network. Security breaches include accessing data where you are not the intended recipient or logging into a server or account that you are not expressly authorised to access or corrupting any data (including network sniffing/monitoring, pinged floods, packet spoofing, denial of service and forged routing information for malicious purposes).
  • Use any program/script/command, or send messages of any kind, with the intent to interfere with, or disable, any person’s use of the site.
  • Send any unsolicited messages through or to users of the site or to send any form of harassment via email, or any other form of messaging, whether through language, frequency, or size of messages or use the site in breach of any person’s privacy (such as by way of identity theft or “phishing”).

Any non-compliance by you with these terms shall give us the right to suspend provision of the site to you and access to your account, and to terminate our relationship with you without liability.

Reservation of rights

Aesthetidocs and its licensors each own and retain their respective rights in and to all logos, company names, marks, trademarks, copyrights, trade secrets, know-how, patents and patent applications that are used or embodied in or otherwise related to the site. Aesthetidocs grants no rights or licenses (implied, by estoppel, or otherwise) whatsoever to you under these terms.

Information provided to us

You are solely responsible for all data, information and other content, that you upload, post, or otherwise provide or store in connection with or relating to the site.

By providing us any information through the site, you grant Aesthetidocs a worldwide, non- exclusive, perpetual, irrevocable, royalty-free, fully paid, sublicensable and transferable license to use, modify, reproduce, distribute, display, publish and perform that information in connection with the site. Aesthetidocs may remove or disable any information provided by you at any time for any reason, or for no reason at all.

You agree that we may share any information provided by you with the treating clinic or practitioner with whom you are seeking to make or have made an appointment.

Your commitments

You represent and warrant to Aesthetidocs that your activity on the site does not and will not violate, infringe, or misappropriate any third party’s copyright, trademark, right of privacy or publicity, or other personal or proprietary right.

You represent and warrant that all information you provide to us through the site is complete, accurate and not misleading. You must ensure that you promptly provide us with any updates or changes to any information previously provided to us.

Disclaimer

THE SITE AND ITS CONTENT ARE PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITH ALL ERRORS AND DEFECTS AND WITHOUT ANY WARRANTIES OF ANY KIND, AND AESTHETIDOCS EXPRESSLY DISCLAIMS ALL REPRESENTATIONS AND WARRANTIES, INCLUDING ANY IMPLIED WARRANTIES OF ACCURACY, COMPLETENESS, MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE OR NON-INFRINGEMENT, AND ANY REPRESENTATIONS OR WARRANTIES ARISING FROM COURSE OF DEALING, COURSE OF PERFORMANCE OR USAGE OF TRADE. YOU ACKNOWLEDGE THAT AESTHETIDOCS DOES NOT WARRANT THAT YOUR ACCESS OR USE OR BOTH OF THE SITE AND ITS CONTENT WILL BE UNINTERRUPTED, TIMELY, SECURE, ERROR-FREE OR VIRUS-FREE, AND AESTHETIDOCS DOES NOT MAKE ANY WARRANTY AS TO THE RESULTS THAT MAY BE OBTAINED FROM USE OF THE SITE AND ITS CONTENT. NO INFORMATION, ADVICE OR SERVICES OBTAINED BY YOU FROM AESTHETIDOCS OR THROUGH THE SITE WILL CREATE ANY WARRANTY NOT EXPRESSLY STATED IN THESE T&Cs AND YOU SHOULD NOT RELY ON THE SITE AND THE GENERAL CONTENT ALONE AS THE BASIS FOR ANY DECISIONS.

NOTHING ON THIS SITE CONSTITUTES MEDICAL ADVICE, AND YOU SHOULD ALWAYS SEEK ADVICE FROM A QUALIFIED MEDICAL PRACTITIONER AS APPROPRIATE.

Liability

AESTHETIDOCS WILL NOT BE LIABLE TO YOU FOR ANY INCIDENTAL, CONSEQUENTIAL, INDIRECT, SPECIAL, PUNITIVE OR EXEMPLARY DAMAGES (INCLUDING DAMAGES FOR LOSS OF BUSINESS, LOSS OF PROFITS OR THE LIKE) ARISING OUT OF OR RELATING TO THIS SITE, INCLUDING WITHOUT LIMITATION, YOUR USE OR INABILITY TO USE THE SITE, SITE, MATCHING SERVICES, CONTENT, PROPRIETARY INFORMATION, OR ANY INTERRUPTION OR DISRUPTION OF SUCH USE, EVEN IF AESTHETIDOCS HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES AND REGARDLESS OF THE CAUSE OF ACTION (WHETHER IN CONTRACT, TORT, BREACH OF WARRANTY OR OTHERWISE). THE AGGREGATE LIABILITY OF AESTHETIDOCS WITH REGARD TO THESE TERMS WILL IN NO EVENT EXCEED £50.

Updates to the terms

Aesthetidocs reserves the right to do any of the following, at any time, without notice: (1) to modify, suspend or terminate operation of or access to the site, or any portion of the site, for any reason; (2) to modify or change the site, or any portion of the site, for any reason; and (3) to interrupt the operation of the site, or any portion of the site, as necessary to perform routine or non-routine maintenance, error correction, or other changes.

Aesthetidocs reserves the right, at its sole discretion, to change or modify portions of these terms at any time. Your continued use of the site after the date any such changes become effective constitutes your acceptance of the new or revised terms.

Jurisdiction

These terms shall be governed by and interpreted according to the law of Northern Ireland and all disputes arising under these terms (including non-contractual disputes or claims) shall be subject to the exclusive jurisdiction of the Northern Irish courts.

Azfi Medical Aesthetics

1. Definitions

1.1 "Agreement" means these Terms and Conditions.

1.2 "Clinic" means Azfi Medical Aesthetics, its owners, directors, clinicians, and staff.

1.3 "Patient" means the individual or entity receiving or intending to receive Treatments.

1.4 "Services" or "Treatments" refers to any procedure offered by the Clinic, including but not limited to injectables, dermal fillers, Platelet-Rich Plasma (PRP), Microneedling, CryoPen and Direct Observation of Procedural Skills (DOPS).

1.5 "DAYS" means calendar days unless otherwise specified.

1.6 "Force Majeure Event" means events outside the reasonable control of the Clinic, including but not limited to natural disasters, pandemics, governmental restrictions, or equipment failure.



2. Scope and Acceptance

2.1 These Terms and Conditions govern all appointments, consultations, and Treatments provided by the Clinic.

2.2 By booking, attending, or paying for any Service, the Patient acknowledges they have read, understood, and agreed to these Terms and Conditions in full.

2.3 Any variations to this Agreement must be agreed in writing by both the Patient and an authorised representative of the Clinic.



3. Medical Assessment and Suitability

3.1 Prior to any Treatment, the Patient must undergo a full medical consultation and risk assessment conducted by a qualified clinician. This includes reviewing medical history, current medications, allergies, and previous cosmetic procedures.

3.2 The Clinic reserves the right to refuse or postpone any Treatment if, in the clinician’s professional judgment, it is clinically inappropriate, unsafe, or contraindicated.

3.3 The Patient must provide truthful, accurate, and complete information during all consultations and disclose any changes in health status prior to Treatment.

3.4 If the Patient is under 18, written consent from a parent or legal guardian is required before Treatment. The Clinic does not treat minors under 16, unless appropriate with parental consent.



4. Booking, Payment, and Cancellations

4.1 A non-refundable deposit (or booking fee) may be required to secure any appointment. The deposit will be deducted from the final Treatment cost.

4.2 Full payment for Services is due on or before the day of the appointment unless otherwise agreed in writing. The Clinic accepts payment by credit/debit card, bank transfer, or other electronic methods. Any fees or surcharges related to payment methods will be disclosed in advance.

4.3 A detailed quotation will be provided before confirming an appointment. Any extra treatments or add-ons requested on the day may incur additional charges payable immediately.

4.4 Cancellation or rescheduling by the Patient must be made in writing at least 72 HOURS before the scheduled appointment. Deposits are non-refundable but transferable with sufficient notice. Cancellations made between 48-72 HOURS prior will incur a 50% treatment fee. Cancellations within 48 HOURS or no-shows will be charged 100% of the treatment cost.

4.5 If the Clinic needs to reschedule due to clinician unavailability, equipment failure, or Force Majeure Event, we will provide at least 48 HOURS’ notice. The Patient may choose a new appointment or request a full refund of any fees paid.

4.6 Repeated cancellations or no-shows may result in the Clinic requiring 100% payment upfront for future bookings or refusal of service.

4.7 Late arrivals beyond 15 MINUTES may result in treatment being curtailed or rescheduled, with applicable cancellation charges.

5. Treatment Expectations, Aftercare, and Follow-up

5.1 Results from aesthetic Treatments vary based on individual factors such as skin type, age, lifestyle, and adherence to aftercare. The Clinic provides an estimate of expected outcomes but cannot guarantee specific results.

5.2 The Patient agrees to follow all pre- and post-treatment instructions provided by the clinician, including but not limited to:

  • Avoiding alcohol, blood-thinning medications, or supplements for 24-48 HOURS prior to injectables.

  • Refraining from strenuous exercise, excessive sun/heat exposure, and certain skincare products for 48-72 HOURS post-treatment.

  • Attending any scheduled follow-up appointments to assess healing and outcomes.

5.3 Failure to comply with aftercare instructions may increase the risk of complications (e.g., bruising, infection, suboptimal results), and the Clinic’s liability may be limited as a result.

5.4 The Patient should report any concerns, adverse reactions, or complications to the Clinic within 7 DAYS of the Treatment. If complications arise beyond this period, the Clinic may still provide assistance, but liability is reduced.

5.5 Certain Treatments are designed to be performed in sequence. If treatment sessions are spaced more than 90 DAYS apart, the Patient may require additional assessments to ensure suitability. The Clinic cannot guarantee accreditation or successful completion of certification components if sessions are excessively delayed.

6. Patient Obligations and Conduct

6.1 The Patient must provide accurate and complete personal, medical, and payment information during registration and consultation.

6.2 The Patient agrees to behave respectfully toward all Clinic staff and fellow Patients. Disruptive, abusive, or harassing behaviour may result in immediate termination of Services without refund.

6.3 The Patient must not record audio or video of clinician consultations or Treatments without express written consent from the Clinic.

6.4 The Patient is responsible for arranging any necessary prior authorizations for insurance coverage, and any liaison with third-party payers. The Clinic may assist but is not responsible for obtaining insurance approvals.

7. Clinic Obligations and Standards

7.1 The Clinic will provide Treatments and Services in accordance with the highest standards of medical practice, hygiene, and safety, guided by UK regulatory bodies (e.g., Care Quality Commission, General Medical Council).

7.2 All clinicians hold valid registrations, qualifications, and professional indemnity insurance relevant to their scope of practice.

7.3 The Clinic maintains up-to-date equipment, follows strict infection control protocols, and uses only pharmaceutical-grade products from reputable suppliers.

7.4 The Clinic will keep secure and confidential medical records in digital format, with access restricted to authorised personnel only. Records are maintained in compliance with the Data Protection Act 2018 and UK GDPR.

7.5 The Clinic will notify Patients of any significant changes to Services, clinicians, or operational procedures that may affect scheduled appointments with reasonable notice.

8. Liability, Disclaimer, and Indemnity

8.1 The Clinic and its staff will not be liable for any indirect, consequential, or incidental losses arising from Treatments, except in cases of proven negligence or breach of statutory duties.

8.2 The Patient acknowledges and accepts that all medical and aesthetic procedures carry inherent risks, including but not limited to bruising, swelling, infection, allergic reactions, nerve damage, vascular occlusion, and dissatisfaction with results.

8.3 The Clinic’s total aggregate liability for claims arising out of or related to any single Treatment shall not exceed the total fees paid for that Treatment.

8.4 The Patient agrees to indemnify, defend, and hold the Clinic, its directors, clinicians, and staff harmless from any third-party claims, liabilities, and expenses (including legal fees) arising from the Patient’s breach of this Agreement or negligence.

8.5 The Clinic does not accept liability for any adverse outcomes resulting from:

  • Non-compliance with aftercare instructions

  • Concealment of medical history or risk factors

  • Treatment by unauthorised personnel or at another facility

  • Force Majeure Events beyond the Clinic’s control

9. Force Majeure

9.1 Neither party shall be liable for any failure or delay in performing its obligations under this Agreement due to a Force Majeure Event.

9.2 The affected party must notify the other party in writing within 5 DAYS of becoming aware of the Force Majeure Event. All reasonable steps will be taken to mitigate the impact.

9.3 If a Force Majeure Event continues for more than 30 DAYS, either party may terminate the Agreement without liability, provided that any outstanding fees for Services already rendered are paid.

10. Confidentiality and Intellectual Property

10.1 All personal, medical, and treatment information exchanged between the Patient and Clinic is confidential. The Clinic will not disclose any information without the Patient’s explicit consent, except where required by law or regulatory bodies.

10.2 The Clinic may take photographs or videos during Treatment for medical records, clinical audit, or marketing purposes, but only with the Patient’s signed consent. The rights to these images remain with the Clinic unless otherwise agreed in writing.

10.3 All content provided by the Clinic (e.g., brochures, website content, treatment protocols) is owned by the Clinic. The Patient must not reproduce, distribute, or use such content without prior written permission.

11. Complaints, Dispute Resolution, and Appeals

11.1 The Patient should raise any complaints in writing to the Clinic’s administrative team at info@azfiaestheticsclinic.co.uk within 14 DAYS of the issue.

11.2 The Clinic will acknowledge receipt within 5 BUSINESS DAYS and aim to provide a written response within 28 DAYS.

11.3 If dissatisfied, the Patient may escalate the complaint to the relevant regulatory body.

11.4 Any dispute arising from or relating to this Agreement shall first attempt resolution through mediation with a mutually agreed-upon mediator. If unresolved, disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

12. Entire Agreement

12.1 This Agreement constitutes the entire understanding between the parties concerning its subject matter and supersedes all prior agreements, understandings, or representations.

12.2 No oral or written representations not expressly contained in this Agreement shall be binding on either party.

13. Amendments to Terms

13.1 The Clinic reserves the right to amend these Terms and Conditions at any time. Any amendments will be published on our website/social media and communicated via email or notice in the Clinic.

13.2 Continued use of our Services after amendments indicates acceptance of the revised Terms.

14. Governing Law and Jurisdiction

14.1 This Agreement shall be governed by and construed in accordance with the laws of England and Wales.

14.2 The parties submit to the exclusive jurisdiction of the courts of England and Wales for any disputes arising under this Agreement.
